“We wanted a more sustainable and predictable IT management system”

– Hansen on the circular management of IT equipment

For a modern law firm, computers and phones are the most important tools of the trade. But when IT purchases are made on an ad hoc basis and administration takes time away from core business, you need a partner who makes it easy. For Hansen, it was about finding transparency, predictability, and a system that works—together with Itreon.

Since its founding in 2013, Hansen Law Firm has established itself as a progressive corporate and transaction law firm with approximately 35 employees in Stockholm. Specializing in M&A, venture capital, tech & commercial law, and management advisory, Hansen works with some of the Nordic region’s most successful entrepreneurs and investors.

For Hansen, sustainability is a top priority—both when it comes to employees and the environment. It also involves how the firm manages its IT equipment.

"We are driving innovation forward and strive to be a modern agency in everything we do, especially in how we work with and manage our IT equipment," says Jenny Sundbäck, Chief Operating Officer at Hansen.

But even modern agencies face challenges when their IT management lacks structure.

Ad hoc purchases that create bottlenecks

Before Hansen started working with Itreon, IT equipment was purchased as the need arose. A new computer here, a phone there. The system relied on employees themselves often providing feedback when equipment began to get old or wasn’t working properly, which meant employees risked being stuck with equipment that was inferior to what was necessary.

"Most of the time, replacements were made when an employee reported that the equipment had lost performance or was starting to show its age—which might have led them to wait before speaking up because they couldn’t handle replacing it right then," Jenny explains.

Since all purchases were paid for immediately, this created irregular cash flows and made it administratively burdensome to keep track of expenses. At the same time, there was no streamlined process for managing the equipment that was being replaced.

“We wanted sustainable and predictable IT management. Today, all equipment is sent back, taken care of, and given a new lease on life. It’s reassuring from a sustainability perspective that there’s a clear system in place for how it’s handled,” says Jenny.

Transparency in the business model

Just over a year ago, Hansen heard about Itreon from an IT strategist they work with. When Jenny met with Itreon for the first time, two things made a strong impression on her.

"I developed a lot of trust in the people we spoke with. And I really appreciated the transparency. Otherwise, it’s easy to wonder: What are we paying? Is it reasonable? Are there any hidden fees? But here, I felt that the business model was very clear," says Jenny, continuing:

"They are also generally very solution-oriented. The overall level of service is high."

Itreon offered something Hansen was missing: a framework agreement that could cover all IT needs, whether for computers, phones, or other equipment. Instead of signing new contracts for each purchase, everything could be handled within the same structure. And Hansen could continue working with his existing IT supplier for the actual delivery of equipment.

“Itreon works directly with the supplier, which means that much of the communication and administration is handled between them. That makes things very smooth for us.”

A partner that makes it easy

With a fixed monthly fee instead of large one-time investments, costs have become much more predictable. And the administrative burden has been significantly reduced.

“We have much better control over what equipment we have and how old it is. At the same time, costs have become more predictable, which makes budgeting easier than before. It also means significantly less administrative work,” says Jenny.

Although Hansen has not yet gone through a full cycle of equipment return following the expiration of a contract, confidence in Itreon as a partner remains strong.

"I think what stands out the most is the transparency and the level of service. We don't have much contact with them on a day-to-day basis, but when we do need help, we get it. It's usually a good sign that there's no hassle and that IT administration doesn't take up more time than necessary," Jenny concludes.
